Privacy notice

Who this covers

This notice explains how we use personal data about three groups of people: visitors to this website, people who run or work for businesses that subscribe to CrownCall, and people who call a business that uses CrownCall.

Website visitors

When you use the demo or contact forms we collect the details you type in (name, business name, phone number, email, message). We use them to run the demo you asked for, to reply to you and to follow up once. The legal basis is your consent for the automated demo call and our legitimate interest in responding to enquiries. We keep enquiry details for 12 months unless you become a client. This site uses no advertising cookies. Our hosting provider (Netlify) records standard server logs, including IP addresses, for security.

Subscribers

We hold your business and contact details, your account settings and your billing history. Payments are taken by Stripe, which handles your card details under its own privacy policy; we never see the full card number. We use your data to provide and bill the service, support you and send you service messages. We keep it for the life of your subscription and for 6 years afterwards for tax and legal purposes.

People who call a CrownCall-answered number

When you call a business that uses CrownCall, the call is answered by an automated AI receptionist, not a person. The receptionist will tell you this. The call is recorded and transcribed so that the business can see what you asked for. The recording, transcript and the details you give (name, phone number, address, the nature of the job) are passed to that business, which is the data controller for them. CrownCall Ltd processes this data only on the business's instructions as its processor. Recordings are kept for 90 days and transcripts for as long as the business keeps the job record. If you want to see, correct or delete your data, contact the business you called; if you can't reach them, contact us and we will help.

Where data goes

We use established suppliers to run the service: a telephony and AI platform to answer and transcribe calls, Stripe for payments, Netlify for this website and Google Workspace for email. Some suppliers process data outside the UK; where they do, transfers are covered by the UK International Data Transfer Agreement or an adequacy decision.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct or delete it, object to or restrict processing, and withdraw consent at any time. Email kaan@crowncall.ai. You can also complain to the Information Commissioner's Office at ico.org.uk.

Changes

We will post any changes to this notice here and, for subscribers, tell you by email.
